Business News Daily's 2026 review lays out two core self-serve tiers: Standard runs $2.50 per user per month billed monthly, or $2.38 annually, and covers auto-scheduling, labor planning, and shift coverage. Advanced runs $6 per user per month monthly ($5.70 annually) and layers on advanced scheduling rules, role permissions, API access, and custom attendance reports. Add time and attendance tracking to either plan and the price jumps: Standard becomes $4 monthly / $3.80 annual, Advanced becomes $8 monthly / $7.60 annual. There's also a custom-quoted Enterprise tier for larger workforces. For a restaurant, retail store, or clinic front desk deciding between the two, the real question usually isn't Standard vs. Advanced -- it's whether you need attendance tracking bolted on, since that's what actually moves the number.
Here's the part that doesn't show up in the per-user rate: Business News Daily notes that When I Work sells seats in increments of five. A business with 8 actual employees on the schedule has to buy 10 seats, because you can't purchase 8. That's 2 seats you're paying for every month, forever, that no one uses -- and the effect compounds as your team's size drifts. A 12-person crew needs 15 seats. A 21-person team needs 25. Run the math on Advanced with attendance tracking at $8/user and that padding adds real dollars a month for nothing. The advertised per-user price is the number in the marketing copy; the number on your invoice is something else, and it only gets worse the further your headcount sits from a clean multiple of five.
The seat-block math is a structural gotcha, but it's not the only complaint pattern out there. Capterra's review roundup for When I Work flags recurring user frustration with billing practices, unexpected charges, and a general lack of pricing transparency -- the kind of thing that shows up after you've already committed to a plan, not before. More operationally relevant for shift work specifically: Capterra also notes that staff sometimes don't receive schedule-change alerts in time. That's a bigger deal than it sounds, because it hits hardest exactly where scheduling software is supposed to earn its keep -- businesses with frequent last-minute shift changes, which describes most restaurants, retail floors, and healthcare front desks. If the tool whose entire job is telling someone their shift changed doesn't reliably tell them in time, the tool has failed at its one job.
Strip away the auto-scheduling engine and the attendance reports, and shift scheduling for most small teams comes down to two things: a shared schedule everyone trusts, and a clean way to request and approve coverage changes when plans fall through. Both of those are workflows, not a separate category of software that has to live outside your employee records. If you're running a large, complex workforce with tight labor-rule compliance and heavy payroll-system dependencies, that maturity is worth paying for -- seat blocks and all. But if what you actually need is a schedule people trust and a swap process that notifies the right person reliably, paying per-seat in blocks of five for a tool with known alert-timing complaints is solving a two-part problem with a much bigger, less predictable bill.
