The real cost of per-seat pricing, explained with math

Per-seat pricing looks simple on a pricing page: one number, times your headcount. It's less simple once you're the one paying it.

Run the math

A 10-person team on a $49/seat/month CRM is paying $490 a month for one tool. Add a helpdesk at $30/seat and a project tracker at $25/seat, and the same 10 people now cost $1,040 a month across three tools -- before anyone has evaluated whether all three are earning their place. Grow to 30 people and that number crosses $3,000 a month, scaling with headcount, not with how much any of it actually gets used.

It taxes growth, not usage

Adding a tenth teammate costs the same as adding your first, whether or not that person spends five minutes a day in the tool or five hours.

The tool's value quietly shrinks for exactly the people who'd benefit from lightweight access, while the headcount avoiding a seat keeps growing.

The alternative isn't pricing tied to every individual you decide to trust with access -- it's pricing tied to the account itself. Inviting a teammate, a contractor, or an exec who checks in occasionally shouldn't trigger a budget conversation. It should just work.
